The AI Readiness Checklist

Seven honest checks to run before you build anything. If you can tick five, you are ready to build your first AI teammate.

  • Your top five repeatable workflows are written down, step by step, with a named owner for each.
  • Your key documents — pricing, offers, tone of voice, case studies — live in one place an AI teammate can be pointed at.
  • You know which tools your team actually uses daily, and which licences are being paid for and ignored.
  • Someone in the business owns the AI decision: what gets tried, what gets kept, what gets switched off.
  • You can name the hours you want back each week, and what those hours are worth to the business.
  • You have a rule for what never leaves the business: client data, financials, anything under NDA.
  • You have one workflow you'd be happy to run as a pilot for 30 days before scaling anything.

Governance for a team of five to fifty — four short documents, not a policy binder. Copy the headings below and fill them in for your business.

Decision Authority Matrix

A simple table of who signs off what. For each workflow you list the AI teammate, the human owner, and the point where a human must approve before anything goes out — to a client, to the public, or into a system of record.

Data boundaries

One page naming what may be shared with AI tools and what may not. Most SMEs settle on: no client-identifying data, no financial records, no material under NDA, unless the tool is contracted and reviewed.

Review cadence

A weekly fifteen-minute check on output quality and a monthly review of what to keep, fix, or retire. Anything unreviewed for a full month gets switched off rather than left running quietly.

Disclosure position

Your written stance on when clients are told AI was involved. Being explicit here removes the awkward conversation later and protects the relationship.

The Second Brain, Explained

The Second Brain is simply the shared memory your AI teammates work from — one organised place holding how your business talks, sells, prices and delivers.

What goes into it

Offers and pricing, your tone of voice, your best case studies and proposals, objection handling, product detail, and the answers your team repeats every week.

Why it matters

Without it, every AI tool starts from zero and produces generic work you have to rewrite. With it, output sounds like your business on the first draft, and each new AI teammate is useful on day one instead of week six.

How to start it this week

Create one folder. Add your five best pieces of writing, your current pricing, and a one-page description of who you serve and how you win. That is a usable Second Brain — everything after this is refinement.
